We tell you before the VoiceHub even opens.

The calendar already knows how many people you invited. So when you spin up a new VoiceHub and the attendee count is higher than your remaining credits, we flag it upfront, before anyone gets a contribution prompt.

You'll see exactly how many people would be cut off and we'll nudge you to pick a payment shape right there. Top up enough to cover everyone, or switch to a seat for unlimited. The choice is yours, the warning isn't a surprise an hour into the prep window.

If you proceed without paying, the VoiceHub closes once your credits are spent. The synthesis runs on whoever made it in, and the rest get a polite “the VoiceHub closed early” note.

  • What problems does VoiceHubs solve?
    The four we ask about in onboarding: the agenda is messy, people don't participate, the outcomes are biased, and decision-making is slow. Most teams name two, some name all four. See how each pain gets addressed.
  • What's the default rule for auto-attach?
    Three or more attendees on meetings you organise. VoiceHubs sees the invite the moment it lands on your calendar and attaches a VoiceHub. Anything smaller (1:1s, solo blocks, meetings you're just attending) is skipped by default. You can tighten the rule in Settings, for example excluding specific series or attaching only to meetings with a certain label.
  • So every meeting gets a VoiceHub? What about 1:1s?
    1:1s and solo blocks are excluded by default because they're under three attendees. For everything else that matches the rule, VoiceHubs attaches and sends you a confirmation email with a sixty-minute cancel window. One click stops it for that meeting only. Cancel the same recurring series once and the rule remembers.
  • Can I opt one specific meeting out?
    Yes, three ways: click cancel in the sixty-minute grace email, click cancel in the calendar event itself once the VoiceHub is attached, or from the dashboard. Cancelling one instance of a recurring meeting only skips that instance, not the whole series. Cancelling the series stops all future instances.
  • Do contributors need an account?
    No signup, no app to install. Contributors get an email with the VoiceHub link, and the calendar invite itself updates with the same link. They confirm their email address once (so only invited people can access) and record a voice note or type a text response when it fits their day. That's it.
  • What counts as one contribution?
    One contribution is one person submitting input to a VoiceHub, voice or text, plus any follow-ups VoiceHubs asks them in that same round. A roadmap review where 7 people speak uses 7 contributions. A 1:1 prep where 2 people speak uses 2.
  • What's in the free 20?
    Everything. Every feature is on, every transcription language is available, recurring VoiceHubs work, custom tone, custom follow-up depth, the full decision archive. The 20 is a usage cap, not a feature cap. There's no time limit either, spread the 20 across as many weeks as you want.
  • What happens if a VoiceHub has more attendees than credits left?
    Because we're connected to your calendar, we know the attendee count before the VoiceHub opens. If attendees > remaining credits, we surface a heads-up at setup: "X people won't be able to contribute unless you top up or switch to a seat." You pick the shape right there. If you proceed without paying, the VoiceHub closes once your credits run out, the synthesis runs on whoever made it in, and the rest get a "VoiceHub closed early" note.
  • Can I switch between pay per use and seat?
    Yes, both directions, any time. Drop the seat and you're back to metered usage. Add a seat mid-month and unused per-use balance carries forward.
  • Are there team seats or volume discounts?
    Pay per seat is one seat at a time, so a team of three seats is €90 / month. Above five seats or above a few thousand contributions per month, Enterprise kicks in with pooled credits and volume pricing.
  • Do contributors pay anything?
    No. Contributors, the people invited to record into the VoiceHub, never see a bill. Pricing is on the organiser side only.
  • Do unused per-use contributions roll over?
    Pay per use is metered, not pre-paid in blocks. You're billed for what you actually used in the cycle. Nothing to roll over because nothing expires.
  • What about the 20 free contributions, do those reset every month?
    No. The 20 are a one-time welcome, not a monthly allowance. After you use them, you're on per-use or seat. We give the 20 once so you can run a few real meetings before deciding the billing shape that fits.
  • Do you charge for the same person contributing twice to the same VoiceHub?
    One contribution covers one person's input round in one VoiceHub, including any follow-up questions VoiceHubs asks them. If the same person comes back to a different VoiceHub, that's a new contribution.
  • Where is my data stored, and is it GDPR-compliant?
    Yes. Primary data sits in the EU (Germany / AWS eu-central-1). Speech-to-text transcription is handled by a UK sub-processor, transcripts are returned and the audio is deleted. Full sub-processor list and details in our data processor agreement.
  • What happens to my data if I cancel?
    You have 30 days to export everything in a structured, machine-readable format. After 30 days we delete it, and on request we confirm the deletion in writing.
  • Do you offer discounts for nonprofits, startups, or research teams?
    Yes, case by case. Email info@voicehubs.io with a one-paragraph description of who you are and what you'd use VoiceHubs for, and we'll come back with a number that works.
